About You
At Housing Kent, we’re looking for the individual who has great customer service experience, can demonstrate grace under pressure in a fast-paced environment, has the ability to work well with both internal and external partners, and has an understanding of the unique needs of a busy organization’s president. If this sounds like you, then consider becoming the Executive Assistant on our team. The Executive Assistant will be a trusted member of the Housing Kent team, working closely with the President providing high-level executive support as well as developing and managing general administrative processes. Ideally, you are skilled at being self-directed, with impeccable attention to detail, and possess the ability to keep a constantly evolving workplace organized.
Essential Duties + Responsibilities

- General Administrative, Office Management, and Project Management Support
Executive Assistance to the President
- Provide executive support to the President, acting independently and performing work of a confidential nature.
- Monitor and manage the President’s busy calendar and email. Keep the President on time and informed of all modifications.
- Organize travel arrangements including vehicle, flight, hotel, and restaurant reservations, and other accommodations as needed.
- Utilize excellent writing skills to prepare agendas, written memos, presentations, etc., on behalf of the President and attend meetings to take minutes.
- Proactively manage and track progress on assignments until successful completion.
- Research, prioritize, and follow up on requests and incoming issues addressed to the President.
- Provide administrative support for the Board of Trustees and Housing Stability Alliance on behalf of the President.
- Adapt and flow with the personality and work style of the President.
Bookkeeping and General Finance Support
- Work with the finance team to maintain budgetary records. Review monthly finance reports, reconcile payables/receivables, and oversee employee credit cards.
- Provide administrative support to the Finance Committee on behalf of the President. Create an agenda and attend meetings to take minutes.
- Manage vendor contracts, communication, and reporting.
- Assist with payroll and PTO Tracking.
General Administrative, Office Management, and Project Management Support
- Develop and manage administrative processes that improve the operational effectiveness of the organization. Consider implementation of project management, shared drive, and communications software.
- Support the Communications Manager with the implementation and maintenance of the CRM system.
- Provide oversight of grants by tracking application and reporting deadlines and maintaining grant documents.
- Assist the team with project support, meeting and event planning, and other projects as assigned.
- Provide office management related to supplies, record keeping (electronic and physical) facility maintenance, office décor, and organization.
- Manage the onboarding process of new hires (payroll setup, implementing benefits, providing IT support, etc.)
Qualifications

- Minimum 5 years of administrative assistance to a President or CEO or relevant work experience
- Ability to translate high-level meeting conversations into succinct and clear meeting minutes
- Professional demeanor with the ability to communicate effectively with all levels of an organization
- Ability to work independently with minimal supervision
- Excellent interpersonal, written, and oral communication skills
- Strong technical skills with the ability to learn, implement, and train staff on new software
- A strong understanding of diversity, equity, and inclusion and the ability to embed DEI principles in every aspect of their work
- Ability to work effectively with people from diverse cultural, social, and ethnic backgrounds and the ability to develop and build strong relationships
- Excellent project management skills, from concept to completion
- Impeccable attention to detail and keen proofreading ability
- Foresight to anticipate and solve problems without escalation
- Strong customer service orientation
- Bachelor’s degree or equivalent experience preferred
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, and OneDrive)
- Familiarity with CRM and project management software (Salesforce, Greenlight, Wrike, Asana, etc.)

Working Conditions
This position operates within a typical office environment. This can include frequent work in a stressful environment. Frequent telephone and computer use. Use of manual dexterity required for writing and computer use. Adequate hearing to engage in prolonged conversations in person and on the phone. Able to sit for extended periods of time. Able to lift up to 25 pounds. Independently mobile with the possibility of climbing stairs. May be required to stand for long periods of time. Some travel, both by car and by air, may be required. Ability to work occasional evenings, weekends, and early mornings. Specific vision abilities required by the job include close vision, distance vision, and ability to adjust focus.
